Personal data

The Data Protection Regulation (GDPR) regulates how we may process personal data. Here you can read what personal data we have, how we use it and what rights you have according to GDPR.

We process and use your personal data, among other things, to

  • calculate and pay out pensions to you
  • be able to make forecasts
  • generate statistics
  • conduct customer surveys
  • be able to show your pension statements for you
  • develop and inform about our business
  • economic and personnel administration purposes
  • fulfill other legal obligations


We receive information from mainly by The National Government Employee Pensions Board that receives information from your employer. It may also be you yourself who submitted the information.

The personal data that we handle can for example be

  • name
  • address
  • personal ID number
  • information on incoming and outgoing payments
  • information about repayment cover
  • information of beneficiary clause
  • information on value and guaranteed value.

Kåpan treats all personal data, and especially sensitive personal data, confidentially. We will need to provide personal data either to be able to administer the insurance or to fulfill obligations according to law.

We provide information to, for example: the Swedish Tax Agency, the Swedish Social Insurance Agency, the Swedish Pensions Agency and the Swedish Enforcement Authority.

For this long we save your personal data

Our pension commitments have a very long term and therefore we need to save information about your insurance for a long time. We do not normally sift insurance information, because we need it for our statistics, for example to be able to establish the best possible life expectancy assumptions.

For other information, we have established rules and procedures for removing the personal data that we no longer need. For example, we sift:

  • received emails after 3 months
  • contact details from e-services after 3 months
  • documents that we also stored electronically after 4 years
  • financial files after 7 years
  • other files after 3 months.  

Your rights

You can request 

  • information, a registry extract, about how we process your personal data and if so, which ones
  • correction if you believe that we treat incorrect information about you
  • deletion of your personal data.

You can also request that we limit the processing of your personal data and also object to the treatment.

Regulations

Regulations for our processing of personal data can be found in the General Data Protection Regulation and in the Data Protection Act (Dataskyddslagen) (2018: 218).

The Swedish Authority for Privacy Protection's (IMY) controls that we handles personal data correctly

If you are dissatisfied with our processing of your personal data and believe that it contravenes the data protection regulation, you can submit a complaint to the The Swedish Authority for Privacy Protection's (IMY).
